Do We Need Zoho One or Individual Zoho Products?

Do we need Zoho One, or just the products we use?

Zoho One is priced per employee across your whole organisation, so it makes sense when most of your staff will genuinely use several applications. Individual product licences make sense when a defined team needs one or two products and the rest of the business does not. The deciding factor is how many of your people will actually log in, not how many applications are included.

The trap in the comparison

Zoho One looks inexpensive when compared against buying four or five products for a small team. The comparison usually breaks because Zoho One is licensed for all employees, not only the ones who will use it. A company where ten people need CRM and forty people never touch a business system can find individual licences considerably cheaper, even though the per-application price looks worse.

Run the arithmetic on your real headcount and your realistic user count before assuming the bundle wins.

When Zoho One usually wins

  • Most of your staff will use at least two or three applications, counting email and collaboration.
  • You expect to add applications over the next year and would rather not renegotiate each time.
  • You want one administrative surface, one sign-on, and one bill.

When individual licences usually win

  • A specific team needs a specific product and adoption will not spread further.
  • You have a large non-desk workforce who will never log in.
  • You are starting with one system deliberately and want to prove value before expanding.

What this means for you

This is a licensing decision worth twenty minutes of arithmetic rather than a default. Cirro is an authorized Zoho One reseller, and will still tell you when individual licences are the cheaper answer for your headcount.
